Buses are a step function and everything else is a line

Admission, meals and materials scale smoothly: one more student costs one more admission. Transport does not. A single bus with 48 usable seats costs the same whether 30 people ride it or 48, and the 49th rider costs an entire second bus.

That produces the shape the headcount table in the results shows. With 52 students and 6 adults, 58 riders need two buses at 48 seats, which is 38 empty seats being paid for. Trim to 48 riders and the second bus disappears along with the whole of its charter cost. Adding students to a bus that is not full costs only their admission; adding one student to a full bus is the single most expensive student on the trip, because that one student buys a vehicle.

This is worth checking before a headcount is treated as fixed. The two levers are combining with another class to fill the seats, or asking whether the adults have to travel on the bus at all, which is a school policy question rather than a budget one but sometimes moves a party back under a threshold.

Supervision, and why there is no default here

The ratio field defaults to a number so the page computes something, and that number is not a recommendation. Required supervision ratios are set by districts and schools, they differ by grade level, by venue and by activity, some venues impose their own as a condition of entry, and in some places elements of it are written into state rule. A ratio that is correct for a high school museum visit is not correct for a first grade farm trip or for anything on or near water.

What the arithmetic does say is that the ratio has a cost, and it is often invisible until it is written down. Requiring one adult per eight students on a party of 52 needs seven adults. If three are staff, four volunteers have to be recruited, approved and possibly fed and admitted, and if the ratio pushes the rider count over a bus threshold it costs a whole charter. Look up the actual requirement, put it in the field, and the consequence appears.

The fee is not the interesting number

Dividing the total by the number of students produces a figure that is arithmetically correct and operationally useless on its own, because the question is never what a trip costs per head. It is whether every student can go.

The tool works that from both ends. Given a subsidy, it prints the fee that covers what remains. Given a target fee — a number you already know families in this class can manage — it prints the subsidy needed to hold it there, and how many students would have to pay in full for the remainder to be covered. That last figure is the practical one when a fund is fixed and the answer is not a fee for everybody but a fee for most and a quiet arrangement for the rest.

How any of that is administered, what may be asked of a family, and whether a trip may be made conditional on payment at all are policy matters with real legal content in some jurisdictions. This page does arithmetic and takes no position on them.

What is missing from the total

Substitute cover for the classes you are not teaching that day is the item most often left out, and on a trip with three staff it can exceed the bus. It belongs in the other costs field along with anything else charged once: a guide fee, a workbook, a deposit that is not refundable, a rain date that costs something to hold.

Also outside the total, deliberately, is anything about permission forms, medical information, transport rules, insurance and who is allowed to drive a student. Those are governed by school and district policy and often by law, they vary by state, and they are not arithmetic. Get them from your office before the deposit goes down, because they carry lead times that a cost sheet does not show — background checks in particular can take weeks.

How many chaperones do I need?

Your school or district sets that and this page will not guess it. The default in the field exists so the page computes something and should be replaced with your actual requirement. What the tool adds is the consequence: it counts the adults the ratio produces, subtracts the staff already going, and shows whether those extra bodies push the party over a bus threshold, which is where a supervision requirement quietly becomes a transport cost.

Why did adding four students cost so much more than the admission price?

Because they crossed a bus. Transport is bought in whole vehicles, so every seat count is a cliff. If 46 riders fit one bus and 50 do not, those four students carry an entire second charter between them, which on the default figures is more than four hundred dollars against about forty in admission. The headcount table in the results makes the cliffs visible by showing buses and per-student cost at several party sizes at once. It is worth looking at before the sign-up list closes, because that is the last point at which the number can be influenced.

Should chaperones pay their own admission?

Schools handle this three different ways and all three are common, which is why it is a setting rather than an assumption: the trip budget covers every adult, it covers staff only and volunteers pay their own, or every adult pays. The choice can move the total by a few hundred dollars on a large party, so it is worth settling before the fee is announced rather than after. Which one applies to you is a question for your office, and there may also be a position on whether a volunteer who has paid can be asked to supervise.

What is not included in the total?

Substitute cover, which is frequently the largest omission and belongs in the other costs field. Anything refundable or conditional, such as a deposit or a rain date hold. Staff time outside the school day. And everything that is not money: permission forms, medical information handling, insurance, transport rules and who may drive a student are all governed by school, district and sometimes state policy, they carry lead times of their own, and none of them appear on a cost sheet. Confirm those with your office early, since background checks for volunteers in particular can take weeks.

Can I use this for an overnight trip?

Partly. The transport, admission and per-head arithmetic works the same way and the step behaviour of buses is if anything more pronounced over multiple days. What it does not model is accommodation, which is its own step function with a different shape — rooms come in whole units with occupancy limits, and adult and student rooming requirements are set by policy rather than by cost. Work the lodging out separately, put the result in the other costs field as a single figure, and the rest of the page will behave. The subsidy and break-even sections do not care what the total is made of.
