Order in packs, plan in units, judge in per student
Three different quantities are involved and the mistake is working in only one of them. Consumption happens in units: a student uses four pencils a term. Purchasing happens in packs: pencils come 144 to a box. Judgement happens per student, because the order is sensible or not depending on what it costs a head, and that figure is comparable between years while a total is not.
The conversion between the first two is where the money leaks. Eighty-four students at four pencils each with a fifteen percent replacement allowance need 387 pencils, which is three boxes of 144, which is 432 pencils. Forty-five spare, and there is nothing to be done about it — you cannot buy three-quarters of a box. That is fine for pencils because they keep. It is not fine for anything with a shelf life or anything where the pack size is enormous relative to the need, and the tool prints the spare figure for exactly that reason.
The replacement rate is the whole estimate
Consumption is easy to estimate and roughly stable. What varies enormously, and what determines whether an order lasts the term, is the rate at which supplies disappear for reasons unrelated to use: markers left uncapped, glue sticks that dry out, things that go home in a bag, things that snap.
Fifteen percent is the default here and it is a placeholder rather than a figure with any authority. The rate is genuinely different by item — markers and glue sticks lose far more to drying than pencils lose to breakage — and by grade level, and by how supplies are stored and issued. The way to get your own is to count what came in and what was left at the end of a term, which takes ten minutes once and produces a number worth more than any published average.
Setting the allowance to zero is worth doing once as a comparison, because the difference between that and your real rate is the size of the March problem. An order that assumes nothing is lost runs out well before the term does, at the point in the year when the budget code has usually stopped working.
Shelf inches, which nobody costs
Supply orders are approved on money and delivered in cardboard. A year of consumables for eighty-four students is a substantial physical object, and classroom storage is fixed, shared and already full. The shelf column exists because the constraint is real and it arrives all at once.

Those bands are orientation rather than measurement — measure your own shelf. The practical response to an order that does not fit is usually to split the delivery across the year rather than to reduce it, which costs nothing if the supplier allows it and solves the problem entirely. Ordering two terms at once to get a better rate and then having nowhere to put the second term is a common and avoidable outcome.
What per student per term is good for
It is the only figure on the page that survives a change in class size, which makes it the one worth recording. A supply order that came to four dollars a student per term last year and six this year has changed in a way a total would hide behind an enrolment shift. It is also the figure to quote when asking for a budget, since it can be checked against a headcount that already exists, and the number that lets a department compare two classes honestly.
What the page cannot do is tell you what any of these rates should be. Consumption, replacement and pack sizes vary by subject, grade level and supplier, and the useful ones are always the ones you counted yourself. How many pencils does a student actually use in a term?
There is no honest general answer, and any figure quoted as typical would be wrong for most classrooms. It depends on grade level, on whether students bring their own, on how supplies are issued, and heavily on whether pencils go home. The defaults in the item list are placeholders to make the tool compute, not recommendations. Getting your own number is a ten minute job at the end of a term: count what you started with, count what is left, divide by students. Do it once and the estimate is good for years.
Why does the order include so many spare units?
Pack sizes rarely divide into what you need. Needing 387 pencils when they come 144 to a box means buying 432 and holding 45 spare, because there is no way to buy part of a box. The tool prints the spare total so you can see when it is getting out of hand, which usually happens with a large pack size on a low-consumption item — one item needed twice a term but sold 250 to a package will dominate the figure. Whether that matters depends on whether the item keeps and whether your budget rolls over to next year.
Should I order a whole year at once?
It usually costs less per unit and it needs somewhere to live, which is the trade the shelf column is there to make visible. Set the terms field to 2 and watch both numbers move: the per student per term cost typically falls and the shelf requirement roughly doubles. If the shelf figure then exceeds what you have, the answer is often to place the order once and ask for a split delivery, which many suppliers will do at no cost and which gets the pricing without the storage problem. Whether your budget permits ordering across a year boundary at all is a question for your office.
What counts as shelf inches per pack?
The linear space one pack takes standing on a shelf the way you would actually store it, measured across the front. A box of pencils laid flat is about three inches; a ream of cardstock on its side is about two. It is deliberately linear rather than volumetric because classroom storage is limited by shelf run far more often than by depth or height. Measure a few packs you already have rather than estimating, and leave the field blank on anything that lives in a drawer or gets handed out on day one and never stored.
Can I use this for supplies students are asked to bring?
For the quantity arithmetic yes, for the cost no. Put the per student figures in and the tool will tell you how many units a class gets through, which is the useful input to a supply list. Leave the pack cost at zero for anything families are providing, so the money total reflects only what the school is buying.
