Two different questions about the same truck
Sizing a moving truck by cubic feet answers whether everything fits. It says nothing about whether the loaded vehicle is within what it is rated to carry, and those two limits are reached at different points depending entirely on what you own. A household of soft furnishings, clothes and light furniture will fill the box and be nowhere near the payload. A household with a workshop, a book collection or a garage of tools can hit the payload with the truck visibly half empty.
The number that connects them is average density in pounds per cubic foot. Multiply the usable capacity of the truck by your average density and you get what a full truck of your possessions would weigh. Compare that with the payload rating and you know which limit binds. That comparison is the section above titled what runs out first, and it is the only part of this page that changes a decision.
The densities, and how wrong they can be
| Category | Working density | Why it varies |
|---|---|---|
| Books, paper, tools, records | around 35 lb per cu ft | Paperbacks against hardbacks and reference volumes; hand tools against power tools |
| General boxed goods | around 12 lb per cu ft | Kitchen contents are dense, toys and ornaments are not |
| Clothes, bedding, soft goods | around 5 lb per cu ft | Compression. The same clothes in a vacuum bag are several times denser. |
| Wood and case furniture | around 8 lb per cu ft | Solid hardwood against hollow board is a factor of two or more |
| Upholstery and mattresses | around 3 lb per cu ft | Frames and springs against foam |
| Appliances and equipment | around 14 lb per cu ft | A washing machine and a floor lamp share nothing but a category |
These are working figures for orientation, not measurements of your house, and each one is an editable field for that reason. If one category dominates your load, it is worth ten minutes with a bathroom scale: weigh three representative boxes, measure the box, and calculate your own figure. That single measurement will do more for the accuracy of the total than any adjustment to the other five categories.
Why a moving quote is sometimes priced by weight
Long-distance moving quotes are frequently built on weight rather than volume, with the shipment weighed on a certified scale before and after loading. That is not arbitrary: fuel, vehicle wear and the number of vehicles needed all track weight more closely than they track cubic feet, and weight can be verified in a way that a visual volume estimate cannot.
What it means for you is that the weight estimate on a quote is worth sanity-checking, because a non-binding estimate can move once the real weight is known. Work out your own figure here, compare it with the weight assumption on the paperwork, and if the two are far apart, ask which assumptions produced theirs. The specifics of how estimates and reweighs work vary between interstate and intrastate moves and between companies, so the terms in your own paperwork are the authority rather than any general rule.
Loading a heavy load, in one paragraph
Weight distribution matters more as the total rises. Dense items belong low and near the front of the box, over or ahead of the rear axle rather than piled at the tail, because a load concentrated behind the axle lightens the steering and makes the vehicle behave badly in exactly the situation where you need it to behave well. Heavy items go on the floor with light bulk above, both for the vehicle and for the boxes underneath. If the total is anywhere near the payload rating, the honest answer is not better packing — it is two trips, or a larger vehicle, or fewer books.
Questions people ask
How much does a house of furniture weigh?
Enough that the answer needs your own volume rather than a bedroom count, but for orientation: a two-bedroom household in the region of 700 to 900 cubic feet at a typical mixed density lands somewhere around 5,000 to 9,000 pounds, and the spread inside that range is set almost entirely by how many books, tools and appliances are in the total. Two households with identical floor plans can differ by several thousand pounds. Enter your own cubic feet by category above rather than accepting a single figure, because the categories are what drive it.
What is payload and where do I find it?
Payload is the weight a vehicle is rated to carry, including everything in the load area and everyone in the cab. It is not the weight of the truck itself and it is not the gross vehicle weight rating, which is the two added together. For a rental truck it is normally on the rental agreement, on a sticker in the door frame, or on the company's specification page for that vehicle. Use the figure for the actual truck you are collecting rather than a general one for the nominal length, and if you cannot find it, ask at the counter before you drive away rather than after you have loaded.
Can a moving truck really be overloaded when it looks half empty?
Yes, and it is the ordinary outcome for anybody moving a library, a home workshop or a garage. Books run around 35 pounds per cubic foot and duvets around 5. A truck loaded to a quarter of its volume with dense goods can weigh more than the same truck full of soft furnishings. The way to see it coming is the comparison in the section above: usable capacity multiplied by your average density, set against the payload rating. If that product exceeds the rating, weight is your limit and packing tighter makes it worse rather than better.
Why does the calculator ask for people in the cab?
Because payload ratings cover the whole vehicle, not just the load space. Three adults and their bags are several hundred pounds and they come out of the same allowance as the furniture. It is a small number against a large one on most moves, but it is the kind of omission that turns a load that was just inside the rating into one that is just outside it, and it costs nothing to include.
Should I use the weight or the volume to pick a truck?
Both, and whichever runs out first is your answer. Volume decides whether the doors close and is the number rental companies advertise. Weight decides whether the vehicle should be driven and is the number nobody mentions. Work out the volume on the truck size calculator, the weight here, and take the larger requirement. When the two disagree sharply it is usually because one category — books, tools, appliances — is carrying a share of the weight far larger than its share of the space, and that category is worth loading separately or moving in a second trip.
